People Operations Associate

The Role

The People Operations Associate will support or lead a range of projects focused on recruitment, system implementation and improvement, and other special projects in support of a high-functioning and fast-paced People Operations team.  The Associate will ensure that recruitment and onboarding for new employees are efficient and organized. Additionally, the Coordinator will support overall team effectiveness through the administration of core People Ops services and the execution of special projects.

What You'll Do

  • Provide administrative support to the recruitment team including assisting with maintaining applicant materials, trackers, templates, and guides.
  • Conduct reference checks
  • Assist the Senior Coordinator to provide accurate reporting on recruitment to the Senior Leadership on a bi-weekly basis.
  • Support the Senior Coordinator to play a key role in the kick-off of new projects including trips to the field and management of large-scale recruitment campaigns under time constraints.
  • Support the Senior people ops coordinator in making requests from the finance team for recruitment purposes.
  • Provide administrative support to the senior people operation coordinator in assisting with maintaining recruitment unit files, accounts, trackers, templates, and guides; assist
  • Prepare and post job advertisements with input from project hiring managers and the Recruitment Manager
  • Escort candidates during interviews and skills assessment.
  • Ensure that personnel files are filled properly weekly.
  • Work along with the People Operations Coordinator to ensure staff monthly timesheets are collected and tracked regularly.
  • Work along with the Operations Coordinator to process staff reimbursements with the Insurance Company.
  • Assist staff in the Teachers and Learners (Learning and Development) application process.
  • Support in the preparation of the quarterly and semi-annual statistics reports to the Ministry of Labor and the Liberia Immigration Services (LIS).
  • Support in the onboarding of staff onto NetSuite and manage the roll-out of any new systems across teams and the operational sites.
  • Support in the preparation of the monthly Town Halls and All Calls.
  • Coordinate new hire set up process with Operations, Finance, and new team.
  • Assist in planning for staff transfers and relocation nationally.
  • Help schedule the first week for new employees and 30/60/90 days check-ins with People Operations and the Department Heads.
  • Ensure employee transitions are handled professionally, sensitively, in compliance with labor laws, and properly documented.
  • Ensure effective inductions take place for all new staff.
  • Coordinate employees off-boarding plan and exit interviews with the relevant People Operations person.
  • Work along with the finance team and ensure all outstanding payments for exited employees are paid accordingly with all the relevant documents.
  • Lead special projects as assigned by the Senior Manager, including, but not limited to, best practice, employees’ engagement, or policy implementation.
  • Brainstorm and lead culture-building events across the organization
  • Manage employee recognition for major anniversary milestones and work closely with the Exec Office in preparing the employee of the quarter.
  • Provide additional support to the People Ops team function or team members as assigned.

What You'll Bring

  • 1-2 years of professional experience, including experience in knowledge management
  • 1-2 years of people operations experience preferred
  • Analytical and tech-savvy, with a significant learning mindset for systems and process improvement.

  • Highly organized, with strong project management and work-planning skills
  • Proficiency with G-Suite and Microsoft Office
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
